Requesting Public Records

What is IPRA?

IPRA stands for the Inspection of Public Records Act, which is a state act in New Mexico that was created in 1978.  The purpose of the act is to allow inspection of records that are normally maintained by public entities to provide transparency and insight into the operations and functions of the departments and agencies that fall within the jurisdiction of IPRA. Most records, with some exceptions, may be inspected through IPRA. For more information on IPRA please see the New Mexico Statutes 1978, 14-2-1 (sections 1-12).

Procedures for requesting inspection

IPRA requests are for existing documents maintained by the Town of Edgewood. The records custodian or staff are not required to compile information or create documents to fulfill requests. Records must relate to public matters.

IPRA requests should include enough information to identify the records sought with “reasonable particularity.” To facilitate a timely response, be as specific as possible. Ask for a particular record or describe the particular information you are requesting. Provide a particular date or timeframe. You may wish to suggest search terms.  If requesting law enforcement audio or video, NMSA 14-2-1.2 requires the requestor to identify one of the following: (i) CAD number; or (ii) date or date range, and name of police officer or first responder, approximate time, or approximate location. 

Once a request has been submitted, the requestor will be contacted by the records custodian within three (3) business days. The Records Custodian may contact you to get additional specificity on your request to provide a more accurate response. Some requests may take longer to fulfill due to the scope of the request. In such instances, the records custodian will remain in contact with the requestor and provide updates and records in a timely manner.

How to request public records

A request or completed Request for Public Records form can be submitted to the Town Clerk (Records Custodian) by mail, email or phone during normal business hours. Fees may apply for records provided by paper copy or on a digital device (such as USB Flash Drive) and additional fees apply for certain forms of records transmission.
